Associate Project Manager, Digital Marketing

Job Purpose / Mission

As an Associate Project Manager, you’ll support the Project Manager/Senior Project Managers with day-to-day tasks. You will be creating Status Reports, budgets and schedules. Coordinating meetings, create Agendas and take Meeting Notes, etc, etc.

Client Management (internal/external)

  • Assist the Project Manager in managing the Client on a day-to-day basis
    • Communicate project plans, project status and budget status
    • Escalate issues when needed
  • Partner with extended internal team

Project Management

  • Work as a liaison between the Client and internal team and communicate proactively
  • Assist with creating the SOW and budget
  • Responsible for creating and communicating internal/external status reports
  • Assist with project risk management/change management, scope creep documents
  • Ensure that the team follow process
  • Schedule and manage resources on the projects
  • Send out daily hotlists
  • Assist with tools/documents:
    • SOW
    • Change of Scopes
    • Change of Scopes Tracking Tool
    • Internal/external Status Reports
    • Burn Rate Reports
    • Agenda/Meeting notes
    • Risk Management Document
    • Communication Plan
    • Business Requirements Document
  • Assist with meetings:
    • Weekly internal and Client status meetings
    • Kick-off meetings
    • Scoping meetings
    • Post-Mortem meetings
    • Business Requirements meetings
    • Planning meetings
  • Stay abreast of new technologies
  • Identify new process efficiencies ongoing

 Finances

  • Assist with project budget/forecast/margin
  • Obtain Client approval of SOWs, budgets and Change of Scopes
  • Communicate the budget status internally and externally in weekly status reports
  • Obtain final approval of all budgets and SOWs
  • Obtain margin approval from General Manager
  • Responsible for communicating project hours to team and sending out weekly Burn Rate Reports
  • Partner with finance team
  • Assist the PM with managing a Change of Scope Tracking Tool document for all projects

 Team

  • Be the “glue” that keeps the team together
  • Work as the liaison between the internal team and the Client
  • Keep  a positive and “can-do” attitude with the team
  • Be solution oriented
  • Resolve team issues and escalate to Project Manager when needed

The Ideal Candidate…..

Has studied marketing or advertising in college. The candidate has also ideally done an internship or worked at another agency. You should be a team player, positive, proactive and detailed oriented. You should also be used to work with large teams and coordinating several tasks at the same time.

Qualifications

  • Bachelor’s degree
  • Skills in handling fast paced environment
  • High-level understanding of the process
  • Strong verbal and written communication skills
  • Understanding of business finances a plus
  • Intermediate knowledge of Microsoft Office, Including Microsoft Project
